Refund Policy

This policy explains how SOLARA handles deposits, balance payments, cancellations and refund requests for the SOLARA Malaga retreat scheduled for March 2027 (exact dates TBC).

GBP 500 deposit

• The GBP 500 deposit secures your place only after SOLARA has confirmed availability.
• Unless SOLARA agrees otherwise in writing, the deposit is non-refundable because it is used to secure retreat logistics, accommodation and supplier commitments.
• A deposit payment does not cover the full retreat balance.
• If a booking cannot be confirmed by SOLARA, any deposit taken for that unavailable place should be returned or moved only with the guest agreement.

Guest cancellation

• If you need to cancel, contact SOLARA as soon as possible in writing at info@solara.steadylens.uk.
• Deposit transfers to another approved guest may be considered at SOLARA discretion, but are not guaranteed.
• Balance payments are due 8 weeks before travel unless otherwise agreed in writing.
• After the balance has been paid, refund availability may depend on what SOLARA can recover from accommodation, flight, transfer, teacher and supplier commitments.

Changes by SOLARA

• If SOLARA cancels the retreat, guests will be offered an appropriate refund or transfer option based on the money received and recoverable supplier costs.
• If SOLARA makes a material change to dates, destination or core inclusions, guests will be contacted with available options.
• Minor itinerary, teacher, schedule or supplier changes may be made where needed to run the retreat safely and smoothly.

Insurance recommendation

Guests should arrange suitable travel insurance that covers cancellation, medical needs, travel disruption and personal belongings. SOLARA cannot guarantee recovery of guest costs that sit outside the retreat package.

How to request a refund review

Send your full name, booking email, room option and reason for cancellation to info@solara.steadylens.uk. SOLARA will review the request against this policy and the supplier position at the time.
